Terms and Conditions for After-School Clubs

1. Booking and Payment

All places in Ready, Set, Stage clubs must be booked in advance through our official booking system.

Payment must be made in full at the time of booking in order to secure a place in the club.

Places are limited and are allocated on a first-come, first-served basis. A booking is only confirmed once payment has been received.

Ready, Set, Stage reserves the right to refuse or cancel any booking where necessary.

2. Refund Policy

Ready, Set, Stage operates a no-refund policy once a booking has been confirmed.

However, we understand that exceptional circumstances can arise. Refund requests may therefore be reviewed at the discretion of Ready, Set, Stage management.

Where a refund is approved, this may be issued as either:

• A partial refund

• Credit towards a future term or club

Missed sessions due to absence, illness, holidays, school trips, or other personal circumstances are not refundable or transferable.

3. Club Cancellation by Ready, Set, Stage

In the unlikely event that Ready, Set, Stage needs to cancel a session due to circumstances beyond our control (such as staff illness or unforeseen events), we will aim to:

• Provide a replacement session, or

• Issue a credit for a future session

Parents and carers will be informed as soon as possible if a session must be cancelled.

4. Minimum Numbers

Ready, Set, Stage clubs require a minimum number of participants to operate.

If minimum numbers are not reached, Ready, Set, Stage reserves the right to cancel the club before the term begins. In this situation, a full refund or credit will be issued.

5. Behaviour Expectations

Ready, Set, Stage aims to provide a safe, inclusive, and enjoyable environment for all children.

Children attending our clubs are expected to behave respectfully towards staff and other participants.

Where a child’s behaviour consistently disrupts sessions or poses a risk to the safety or wellbeing of others, Ready, Set, Stage reserves the right to:

• Issue a warning

• Contact parents or carers

• Remove the child from the club if necessary

Refunds will not normally be issued where a child is withdrawn due to behaviour concerns.

6. Collection of Children

Parents or carers are responsible for ensuring that children are collected promptly at the end of the session.

If a child is not collected on time, Ready, Set, Stage staff will attempt to contact parents or emergency contacts listed on the booking form.

Persistent late collection may result in the child being withdrawn from the club.

7. Safeguarding and Staff Checks

The safety and wellbeing of all children attending Ready, Set, Stage is our highest priority.

All staff working with children:

• Hold Enhanced DBS checks

• Are trained in safeguarding procedures

• Hold relevant first aid training where appropriate

Ready, Set, Stage follows safeguarding practices in line with current UK guidance.

8. Health, Medical Information, and Additional Needs

Parents or carers must provide accurate and up-to-date information regarding:

• Medical conditions

• Allergies

• Special educational needs or additional support requirements

This information is essential in order for staff to ensure the safety and wellbeing of all children.

Parents must notify Ready, Set, Stage if any information changes during the term.

9. Photography and Media

From time to time, photographs or videos may be taken during sessions for the purpose of:

• Showcasing activities

• Marketing and promotional materials

• Social media or website content

Photography will only be used where parental consent has been provided during the booking process.

Children without photo consent will not be included in promotional media.

10. Liability

Ready, Set, Stage takes all reasonable precautions to ensure the safety of children participating in our activities.

However, participation in activities such as dance, drama, sport, and performing arts involves some level of physical activity and inherent risk.

Ready, Set, Stage cannot be held liable for injuries sustained during normal participation unless caused by proven negligence.

11. Personal Belongings

Children are advised not to bring valuable items to sessions.

Ready, Set, Stage cannot accept responsibility for lost, damaged, or stolen personal belongings.

12. Changes to Clubs or Staff

Ready, Set, Stage reserves the right to make reasonable changes to:

• Session content

• Timetables

• Coaching staff

Where possible, parents and carers will be informed of any significant changes in advance.

13. Data Protection

Ready, Set, Stage collects and stores personal information for the purposes of administering club bookings and ensuring the safety of children.

All personal data is handled in accordance with UK data protection regulations.

Information will not be shared with third parties except where required for safeguarding or legal purposes.

14. Agreement to Terms

By booking a place in a Ready, Set, Stage club, parents and carers confirm that they:

• Agree to these Terms and Conditions

• Provide accurate and complete information during the booking process

• Understand the refund and behaviour policies

15. School Closures and Unforeseen Circumstances

If a session cannot take place due to circumstances beyond the control of Ready, Set, Stage, including but not limited to:

• School closures

• Extreme weather conditions

• Industrial action (e.g. teacher strikes)

• Public health guidance

• Use of school facilities being withdrawn

Where a school is closed or cancels clubs for internal reasons, Ready, Set, Stage will not be held responsible for missed sessions.

Ready, Set, Stage will make reasonable efforts to offer either:

• A replacement session, or

• Credit towards a future term where possible

Refunds will not normally be issued in these circumstances.

16. Late Collection Fees

Parents and carers must ensure children are collected promptly at the end of each session.

A late collection fee may be charged if a child is collected significantly after the club finish time. This fee helps cover additional staffing and supervision costs.

Persistent late collection may result in the child’s place in the club being withdrawn.

17. Emergency Medical Treatment

In the event of an accident or medical emergency, Ready, Set, Stage staff will administer basic first aid where appropriate.

Where necessary, Ready, Set, Stage reserves the right to seek emergency medical treatment for a child and contact emergency services if required.

Parents or carers will be contacted as soon as reasonably possible.

18. Parent Communication and Contact Details

Parents or carers must ensure that all contact details provided during the booking process are accurate and kept up to date, including:

• Telephone numbers

• Emergency contact details

• Medical information

Ready, Set, Stage cannot be held responsible for issues arising from incorrect or outdated information.

19. Acceptance of Terms

By completing a booking with Ready, Set, Stage, parents and carers confirm that they have:

• Read and understood these Terms and Conditions

• Agreed to the policies outlined

• Provided consent for their child to participate in the activities

These Terms and Conditions apply to all Ready, Set, Stage clubs unless otherwise stated.
